Office Officer (Administrative Officer)
The Office Officer is responsible for supporting the day-to-day operations of the MOL Polska office and reception area in accordance with the company’s office policies. The role includes handling incoming and outgoing correspondence, managing courier deliveries, cooperating with external archives, registering visitors, issuing visitor access cards, and providing administrative support to various business units within the organisation.
Requirements:
· Bachelor’s degree
· At least 1 year of professional experience in an office, reception, administrative, or service management role
· Good command of English (spoken and written) enabling effective communication
· Knowledge of document workflow procedures
· Experience in document management (document workflow, archiving, filing, registering correspondence)
· Knowledge of the SAP GOP system will be considered an advantage
· Proficiency in using office equipment
· Very good knowledge of MS Office
· High level of accuracy and attention to detail
· Strong organisational skills, with the ability to plan tasks, set priorities, and meet deadlines
· Problem-solving skills
· Excellent interpersonal and communication skills
· Ability to work independently
Your duties will include:
· Managing all tasks related to correspondence administration, including:
· incoming correspondence (receiving mail and deliveries, registration, distribution to recipients)
· outgoing correspondence (collecting items for dispatch, registering outgoing mail, sending items)
· handling incoming invoices outside the KSeF system (registration, scanning to VIM, distribution)
· Managing cooperation with the external archive, including sending and receiving documentation and maintaining a register of archived documents
· Supervising the proper management of company stamps (ordering, record-keeping, and disposal)
· Ordering office supplies, including company envelopes and business cards
· Handling administrative tasks related to reception/front-desk matters
· Entering documentation related to inspections carried out by public authorities into the relevant system and ensuring it is processed appropriately
· Providing administrative support for visitors, including registration and issuing access passes
